Club Chairperson
- Principal Officer of the Club
- Elected by members of the club
- Leads on governance in line with Swim England and the Club Constitution.
- Leads and directs the committee in the overall management of the charity, forward planning and strategy
- Acts as the Public face of the club, networking and keeping in contact with the members, external networking where necessary.
- Manages preparation work for in-house galas.
- Chairs the committee and AGM meetings
- Advises the committee on matters associated with the constitution and charity law.
- Determines the content and agenda for club meetings in association with the club secretary.
- Nominates a Vice Chair (Secretary or Treasurer) in case(s) of absence at meetings.
- To be one of three Club Officer signatories on Club accounts.
- Serves as Chair of Club Trustees.
Club Secretary
- Provide the main point of contact for administration, information and communication within the club and externally. (Current Club secretary is the main mailing address for the club.)
- Organises committee meetings and AGMs, prepares agendas in consultation with Chair, take minutes, and distributes and communicates these as appropriate.
- Responsible for paperwork and administration of the AGM and annual trustees meeting.
- Responsible for advising committee regarding matters relating to club data protection.
- Acts as the main point of contact for all club member registrations with Swim England.
- Manages the club’s annual subscription to and renewal process with Swim England, ensuring membership fees (including associated insurances) are paid on time.
- Responsible for the maintenance of the membership database including maintaining up-to-date information and contact details of all club members, committee members, other key club personnel and Swim England secretaries at national, regional and county levels, updating and changes to membership throughout the year.
- Responsible for holding documents sent by Swim England and holding other key club documents and records or knowing where they are held.
- Has a good knowledge and understanding of the roles and responsibilities of the other club committee members.
- To be one of three Club Officer signatories on Club accounts.
- Serves as a Club Trustee.
Club Treasurer
- Produces and manages the club’s accounts and finances, overseeing all income and expenditure for the club.
- Oversees all matters financial, including membership billing.
- provides reports both annually and periodically.
- advises the committee on all matters associate with finance and financial reporting requirements.
- Completes the Charity Commission annual returns.
- To be one of three Club Officer signatories on Club accounts.
- Serves as a Club Trustee.
Club Welfare Officer for Wavepower and DBS Administration
- Key contact for carrying out Club member DBS checks and safe recruitment requirements as well as Stronger Affiliation compliance requirements.
- To raise awareness of and assist the club in implementing Wavepower, Swim England’s Safeguarding Policy and Procedures document insofar as this role entails, including attending Club committee meetings to keep the committee up to date on Wavepower requirements and advise on safeguarding requirements (in conjunction with the Second Club Welfare Officer.)
- To ensure the club meets required standards for Swim England Stronger Affiliation status by Nov. 2020, to be renewed yearly thereafter, in order to be eligible for Swim England membership and insurance.
- To ensure that all relevant club members, volunteers and staff have an up to date DBS Enhanced disclosure (which should be updated every 3 years) and the opportunity to access appropriate child safeguarding training.
- To ensure that Wavepower procedures for the safe recruitment of staff and volunteers are followed.
- To be aware of and have a note of contact details of police, Local Authority Designated Officer (LADO), Multi Agency Safeguarding Hub (MASH) Team, safeguarding partners and the Swim England Safeguarding Team.
- To be aware of and have contact details for the County and Regional Welfare Officer.
- To be the main point of contact for Swim England regarding general club safeguarding matters.
- To hold documents pertaining to Wavepower, DBS checks and documents required for general safeguarding administration.
- To ensure that Codes of Conduct are in place for club staff, volunteers, coaches, competitors and parents/guardians.
- To ensure confidentiality is maintained and information is only shared on a ‘need to know’ basis.
- To undergo an Enhanced DBS check and mandated Swim England approved Safeguarding training every 3 years.
Second Club Welfare Officer for Raised Club Child Protection Concerns
(Appointed by the Committee in a non-voting capacity to avoid conflict of interest in accordance with p. 57, paragraph 3 of Wavepower 2020-2023).
- Provides the first point of contact within the club for club staff, volunteers, young people and parents for any issues concerning child welfare, poor practice or potential or alleged abuse.
- To ensure all incidents are reported correctly and referred, in accordance with Wavepower.
- To act independently and in the best interests of a child at the club, putting that child’s needs above that of others and the club itself.
- To ensure confidentiality is maintained and information is only shared on a ‘need to know’ basis.
- To assist the club in implementing Wavepower, Swim England’s Safeguarding Policy and Procedures document, with regard to any specific Child Protection concerns raised.
- To attend the club sessions frequently.
- To raise awareness of and assist the club in implementing Wavepower, Swim England’s Safeguarding Policy and Procedures document insofar as this role entails, including attending Club committee meetings (in a non-voting capacity) to keep the committee up to date on Wavepower requirements and advise on safeguarding requirements (in conjunction with the Club Welfare Officer for Wavepower and DBS Administration),
- To attend Club committee meetings in a non-voting capacity.
- To hold no other position on the committee or be related to any other member of the committee.
- To not be an active teacher or coach of the club.

- To support the Club and undertake duties as required by the committee from time to time.

Fixtures Secretary
- Responsible for the booking and overall management of all external galas.
- Alert the Health and Safety Advisor to the need for purchase of appropriate fixtures merchandise.
- Liaise with Competitive/Gala Swimmer Teacher.
- Swim England link for galas, providing group with applicable advice.
Fundraising Secretary
- Responsible for identifying and coordinating potential sources (including Swimarathon, Christmas Cracker Appeal).
- Club Trustee.
Health & Safety Advisor
- Health & Safety.
- Responsibility for equipment, poolside safety, appropriate tables, chairs etc, setting up of internal gala events, order and purchase of new equipment in consultation with the teacher team leader.
- Club Trustee.
Members Representative
- To represent the views and wishes of the members.
- Must be 18 years or older.
- Club Trustee.
Minutes Secretary
- To Support the role of Club Secretary in the preparation, distribution and keeping a record of all committee meetings, agendas and minutes.
- Serves as Club Trustee.
New Membership Secretary
- Provide administration support to Teacher Team Leader.
- Coordination of the club waiting list and club membership rules.
- Club Trustee.
Register Secretary
- Responsible for keeping a register of attendance at all teacher led swim sessions of swimmers, teachers and parent and volunteer helpers.
- Responsible for requesting a substitute register secretary if unable to attend a session.
- Responsible for recording the register of each session on an Excel spreadsheet and distributing register. information/spreadsheets to relevant committee members for the purposes of the necessary administration and running of the Club.

Publicity, Booking and Club Calendar Secretary
- Coordinate club publicity and liaise with media.
- Booking of meeting rooms applicable to committee and AGM and venues for club events.
- Creation and maintenance of club calendar.

Social & Events Coordinator
- Preparation of suitable venues, eg; refreshments, entertainment.
- Club Trustee.
Teacher Team Leader /Deputy Teacher Team Leader
- Responsible for overseeing the delivery of the club’s programme, supporting club coaches and teachers with their delivery as required.
- Responsible for the overall management of the club swimmers, teachers and helpers.
- Running of in-house galas, maintenance of records of swimmers’ achievements and grades, training of teachers, helpers and life guards.
- Teacher/Helper rota.
- Hold the minimum required qualification of Swim England Coach or Level 2 equivalent in appropriate discipline. (ie Level 2 Swimming Teacher).
- Hold an Enhanced DBS check to be renewed every 3 years as well as Swim England approved safeguarding training.
- Club Trustees.
Website Administrator
- Responsible for maintaining the club’s website, including posting all new updates and associated publicity on a monthly basis.
- To work in conjunction with Publicity Secretary.
- To coordinate upgrades to the website based on committee feedback.
- Club Trustee.
Club President
- To represent the club in various capacities as agreed with the Club Officers and Committee.
- Term of office to be 2 years, after which may be elected for further terms.
